Mini Split Repair Terms of Service

Contractual terms, diagnostic guidelines, and property access conditions governing ductless mini-split troubleshooting and technical dispatch.

Last Updated: January 15, 2025

1. Agreement to Terms

These Terms of Service constitute a legally binding agreement between you (the property owner, tenant, or authorized agent) and HVAC Mini Split Pros ("Company," "we," "us," or "our"). By requesting a diagnostic dispatch, scheduling a repair visit, or calling 877-853-0110, you agree to be bound by these terms in full.

2. Nature of Service and Technical Dispatch

HVAC Mini Split Pros provides specialized technical intake, diagnostic routing, and customer support services. We connect homeowners and commercial managers with independent, certified HVAC technicians and local service contractors who diagnose, repair, and install ductless mini-split heat pumps and air conditioning systems. Field diagnostic and mechanical repair work is executed by assigned local specialists.

3. Diagnostic Assessment vs. Repair Authorization

Service visits are structured in two distinct phases to protect consumer choice and transparency:

  • Diagnostic Evaluation: Technicians arrive on-site to inspect operating pressures, check inverter board error codes, test thermistors, measure electrical current, and inspect lineset connections. A diagnostic fee applies for this professional investigative service.
  • Written Repair Authorization: Once the technician identifies root failures—such as a grounded compressor, leaking flare joint, or faulty electronic expansion valve—they present a detailed written estimate outlining replacement parts and labor. No repair work proceeds without your express written or verbal authorization.

4. Property Access and Safety Requirements

Accurate HVAC diagnostics require unrestricted access to mechanical and electrical equipment. Customers agree to provide:

  • Clear, unobstructed pathways to both indoor wall-mounted air handlers and outdoor condenser units.
  • Safe working clearances around outdoor compressors, including removal of overgrown brambles, snow banks, or debris piles.
  • Access to the main electrical distribution panel, circuit breakers, and outdoor disconnect switches.
  • Safe restraint of domestic pets during the technician's on-site service window.

5. EPA Compliance & Environmental Regulations

All refrigeration diagnostics and repairs comply strictly with United States Environmental Protection Agency (EPA) regulations under Section 608 of the Clean Air Act. Federal law strictly prohibits the intentional venting of fluorocarbon refrigerants (including R-410A and R-32). If a system is found to have lost refrigerant, technicians must identify and repair the physical leak before weighing in factory-specified replacement charge.

6. Warranties and Replacement Parts

Replacement components—such as inverter printed circuit boards (PCBs), DC blower fan motors, thermistors, and four-way reversing valves—carry manufacturer parts warranties as documented on individual work orders. Labor warranties vary by local service contractor and are explicitly disclosed on the written repair invoice. Warranties do not cover pre-existing electrical code violations, damage caused by utility power surges, or lack of routine air filter maintenance.

7. Cancellation and Rescheduling Policy

We understand that schedules change. To cancel or reschedule an appointment without penalty, notice must be provided at least 24 hours prior to your scheduled dispatch arrival window. Late cancellations or inability to provide access when a technician arrives at the service location may incur a standard dispatch cancellation fee.

8. Limitation of Liability

To the maximum extent permitted by applicable law, HVAC Mini Split Pros shall not be liable for indirect, incidental, punitive, or consequential damages resulting from system downtime, ambient temperature fluctuations, spoiled goods, or delays caused by severe weather, part supply-chain shortages, or utility outages.
